Integrating Document Services

If your documents are stored in third-party services like SharePoint, ClariNet can automatically synchronize them with your Cases and Insureds.

To enable this integration:

  1. Set up a Document Service Connection This tells ClariNet where to find your documents and how to authenticate access.
  2. Configure Document Service Integrations at the Portfolio Level These rules define how ClariNet matches files from your document service to the correct Cases and Insureds.
Currently, ClariNet only supports SharePoint as a document source.

Permissions

To configure and manage document services in ClariNet, specific permissions are required:

  • Configure Document Service Connections You must be a subscriber administrator. To check who has admin access in your company, go to “My Account” → “View admins”
  • View Document Service Integrations You need the Document Services “Read/access” permission, found under “Portfolio Management” in User permissions.
  • Create, edit or trigger integrations You’ll need the Document Services “Edit” permission to:
    • Create new integrations
    • Modify existing ones
    • Trigger integration runs manually or via the Public API
    • Configure an automated schedule

Document Service Connections

A document service connection tells ClariNet where to source your documents (e.g., SharePoint) and how to authenticate with that service. It enables ClariNet to securely access and process files from your external document provider.

Setup Overview

The setup steps vary depending on your document provider, but the general process includes:

  • Creating a Credential You’ll need to generate a credential in your document provider system that ClariNet can use to authenticate with your provider’s API and query available files. This should be done by someone with appropriate administrative privileges. Follow best practices to ensure secure and limited access:
    • Grant read-only access to the specific folders containing files you want ClariNet to import.
    • Store credentials securely using a password manager that complies with your organization’s security policies.
    • Avoid granting write access - ClariNet does not require it.
If your credentials are subject to periodic rotation, make sure you have a process in place to update them in ClariNet. Expired credentials will cause integrations to fail.

Once your credential is ready, you’ll need to configure the connection in ClariNet. This requires Subscriber Administrator access.

To set up the connection:

  1. Go to Settings → Users & Access → Document Service Connections.
  2. Click the Action button to create a new connection.
  3. Select the appropriate service from the list of supported providers and enter the required details.
